Job description
Go2Africa is a leading Africa-based tour operator, trusted by travellers for over 25 years to design journeys that are seamless, personal, and deeply connected to the African continent. We are looking for an experienced Creditors Accountant to join our team.
The role
This role is responsible for coordinating and managing a portfolio of supplier accounts, ensuring accurate reconciliations, timely payments, and compliance with supplier terms. Key priorities include reviewing outstanding supplier lists, resolving queries, preparing and sending remittances, managing aged analyses, and maintaining supplier relationships.
Functional Responsibilities
Prompt and accurate supplier account reconciliations
Ensure statement and invoices are received from supplier with enough time to reconcile.
Ensure reconciliations are completed accurately and are checked before submitted for sign off.
Regular review of Outstanding Supplier List
Regular review or twice weekly or more during high activity review of Outstanding Supplier List for identification of payments and pending/reconciling items.
Ensure valid invoices are requested and received to comply with supplier payment terms.
Prompt and accurate payment to suppliers
Ensure the correct amounts are being paid by reconciling supplier invoices received to supplier cost in travel management system and accounting system. All queries to be addressed as per Gains/Loss policies.
Ensure all payments are captured accurately in the accounting system for banking platform and thereafter to Booking system to maintain accurate supplier balances.
Ensure all payments/supplier recons prepared and/or processed are given to Team Leader by set deadlines.
Prepare and send supplier remittance advice
Ensure all suppliers receive a remittance advice and proof of payment after payment has been made.
Ensure proof of payments and remittances are sent for supplier's convenience by latest cob the day after the payment run.
Supplier Account Management and Review of Aged Analysis
Ensure all payments are correctly and promptly allocated in the event of prepayment or manual payments.
Ensure regular clean-up allocation of credit notes and invoices
Regular monitoring of Supplier Aged Analysis for accounts that have moved into 60days+.
Queries and Error/Loss Report and Gains
Ensure that all supplier invoice discrepancies are investigated, have supporting paperwork where necessary & processed correctly.
Ensure losses are accepted by person responsible or signed off by management before payment is made to supplier.
Maintain relationship with suppliers and continuously improve payment terms
Always maintain good relationships with suppliers by ensuring contracted terms are adhered to and communication is always professional.
Email management – personal
Ensure that all emails receive a prompt response with all queries addressed by close of business.
Email management – shared invoice email box
Ensure that invoice box is reviewed regularly per day and emails marked to your name are attended to.
Supplier VAT treatment
Ensure that you are familiar with the VAT implications and requirements for supplier payments.
Credit application forms
Complete the necessary credit application forms for your suppliers and submit to Financial Manager for review before director sign off.
Filing (electronic)
All requisitions and corresponding invoices must be filed weekly in named folders and according to date (oldest to newest).
Team assistance and team leader back-up role
Assist Team Leader with workload where need be, in cases of Creditors department being short-staffed.
Job requirements
Experience
Essential
Strong general accounting knowledge and experience
Experience in dealing with foreign currencies and foreign suppliers
Strong Excel skills
Computer skills, MS Office, Standard Bank Business Online
Analytical skills, highly numeric
Excellent communication skills, written and verbal
Desirable
Sage 300 Accpac knowledge
Proven coaching and mentoring skills
Qualifications
Essential
Tertiary Accounting qualification
